Shipping Vape Pods Wholesale: Lead Times, Freight and Import Basics
Wholesale shipping problems are rarely the truck. They are the two weeks lost to an unapproved artwork file, or a certificate nobody asked for arriving after the container has already been charged storage. This page covers the clocks, the freight options and the paperwork, in the order you will actually meet them.
Two clocks: production and transit
Standard wholesale orders dispatch in 5–7 working days from confirmation. OEM and private-label orders run a 45-day turnaround from approved artwork, which is the longer of the two waits and the one most often started late. Transit time begins at dispatch, not at order.
Freight modes
- Express courier (DHL / FedEx / UPS) — 7–15 days to most markets. The default for sample kits, trial orders and replenishment of a proven SKU.
- Consolidated air — worth comparing once a shipment outgrows courier rate cards.
- Sea freight — the cheapest per unit for bulk volume and the slowest; used for container-scale reorders with a planned buffer.
We serve 50+ countries and quote freight against the destination you name, so the same order can be priced as door-to-door courier or as a consolidated movement. Ask for both numbers: the gap between them is usually wider than buyers expect, and it changes which capacity lines are worth carrying.

Additional certificates can be arranged on request — before dispatch. A document requested after arrival is a fee, a delay and a conversation with a customs broker; the same document requested with the order costs nothing.
Capacity and strength rules
Several regulated markets cap the liquid volume a cartridge may hold for nicotine products and set a ceiling on nicotine strength, and a 2 ml reference point is common in those regimes. That is why the 2.0 spec exists as its own line rather than as a footnote: in those markets buyers are not comparing it against larger formats, they need a compliant option with full export documentation. The higher-capacity lines — 2.5, 3.0, 4.0 — are for markets without such caps.
These rules vary by jurisdiction and they change. Confirm the current requirement with your own import authority or broker before ordering; we provide the documentation, but import compliance stays with the buyer, and we do not ship to markets where these products are prohibited.
Before the first shipment: a checklist
- Confirm the destination country and who is named as importer on the invoice.
- Confirm capacity and strength rules with your broker, in writing.
- Confirm which documents accompany the shipment, and in what language.
- Confirm who pays freight and who pays duties — on this order, not in general.
- Confirm the defect reporting window: ours is 14 days from delivery, with photos and pack codes.
- Agree a reorder point so a proven SKU does not go out of stock mid-transit.
Where timing actually goes wrong
Most delays we see are pre-dispatch rather than in transit: artwork that comes back approved in a different form, a flavor that is between runs on a specific generation, or destination documents requested after packing. Two habits avoid nearly all of it — lock the artwork and the flavor list before the deposit, and put every destination requirement in the first message rather than the fourth.
